AI Roadmap Workshop

AI Roadmap Workshop Brisbane

The Syfre AI Roadmap Workshop is a focused, expert-led half-day session that takes your organisation from "we know AI matters" to a prioritised, costed, and governance-ready roadmap. We deliberately bring a cross-section of your people into the room — leadership, operations, IT, and the frontline staff who will actually use the solutions — so the plan has genuine cultural buy-in from the start, not resistance later. Shortly after the session you receive a documented AI roadmap, a phased delivery plan, governance scaffolding, and a clear next-step backlog — built with your team, not handed down in a slide deck.

What is the AI Roadmap Workshop?

The AI Roadmap Workshop is a fixed-scope engagement built around a single half-day, facilitated session. Ahead of it we send a short intake questionnaire to understand your business, systems, and goals — no drawn-out discovery phase and no string of stakeholder interviews. The session itself brings a cross-section of your organisation into one room: leadership, operations, IT, and the frontline people who will live with the changes. Working together, we map current-state workflows, identify and prioritise AI opportunities, and pressure-test them against your data maturity, risk appetite, and governance obligations. Shortly after, you receive a delivered AI roadmap and supporting artefacts: an AI Opportunity Register (every use case scored on value, feasibility, risk, and data readiness), a 12-month phased delivery roadmap, a governance scaffold mapped to the 8 Australian AI Ethics Principles, and an executive-ready business case for priority initiatives. Because the people who own the work helped shape the plan, you get something rarer than a strategy document — genuine buy-in to actually execute it.

Why most AI roadmaps fail before they start

The roadmap deliverable is the easy part. The reason most AI roadmaps never get executed is in how they were built.

Roadmaps built without the people who will execute them

Strategy consultancies interview a handful of executives and hand down a roadmap nobody on the delivery side believes in. We deliberately bring a cross-section of your organisation into the session — leadership, operations, IT, and the frontline staff who will actually use the tools — so the plan earns real cultural buy-in. When the people who own the work help shape it, adoption stops being a fight.

Governance treated as a separate workstream

Most roadmaps bolt on governance at the end and stall at the first gate review. We embed risk assessment, ethics-principle mapping, and human-oversight design into the prioritisation step, so every initiative on the roadmap is already governance-ready.

Generic frameworks instead of your reality

A roadmap pulled from a consulting template is a roadmap of someone else's priorities. Our prioritisation uses your data maturity, your team capability, your risk appetite, and your existing tech stack as inputs — not as afterthoughts.

What the workshop delivers

AI Opportunity Register. A complete inventory of AI use cases across your business, each scored on commercial value, technical feasibility, data readiness, governance risk, and time-to-value. The register becomes the source-of-truth for every future AI decision — what to pursue, what to defer, and what to retire.
12-Month Phased Delivery Roadmap. A sequenced plan covering the next 12 months: Phase 1 quick wins (0–3 months), Phase 2 foundation (3–6 months), Phase 3 strategic capability (6–12 months). Each phase includes named owners, milestones, resource estimates, and success metrics.
Governance Scaffold. A governance arrangement mapped directly to the 8 Australian AI Ethics Principles, with risk-assessment templates pre-completed for every high-risk use case on the roadmap. Every initiative ships with the evidence scaffolding leadership needs to approve it.
Executive Business Case Pack. Ready-to-present business cases for the top three priority initiatives, including ROI projections, implementation cost ranges, risk register, and decision-ready recommendations. Designed to secure budget and board approval without rework.
AI Capability & Data Readiness Assessment. An honest assessment of where your team and data stand today. We score data maturity, team AI literacy, infrastructure readiness, and governance posture — and the roadmap is shaped to match what is actually achievable.
Implementation Backlog & Next-Step Plan. A prioritised backlog of the next 30, 60, and 90-day actions: what to start, who owns each step, and how to know it is on track. The workshop ends with an executable plan, not an aspiration.

How the workshop runs

01

Before — Short Intake Questionnaire

Ahead of the session we send a brief intake questionnaire to understand your business, systems, data, and goals. It takes minutes to complete and means we arrive ready to work — no multi-week discovery phase and no string of stakeholder interviews.

02

The Half-Day Workshop

A single, facilitated half-day session with a cross-section of your people — leadership, operations, IT, and the frontline staff who will actually use the solutions. Together we map current-state workflows, surface AI opportunities across every function, and prioritise them against value, feasibility, risk, and data readiness. Everyone who has to live with the changes helps shape the plan, which is how you get genuine cultural buy-in rather than top-down resistance.

03

After — Roadmap Delivery

Shortly after the session we synthesise the outputs into your delivered AI roadmap: a prioritised opportunity register, a 12-month phased delivery plan, a governance scaffold, and business cases for priority initiatives. We walk your team through it and agree the first next steps.

Who the AI Roadmap Workshop is for

CEOs, CTOs & Boards

Executive teams ready to move past AI experimentation and commit to a costed, prioritised plan they can fund and execute. Best for organisations of 50–2,000 staff.

Operations & Transformation Leaders

Heads of operations, transformation, or digital who own the AI agenda and need a roadmap that the delivery side actually believes in.

Frequently asked questions

What is an AI Roadmap Workshop?

The Syfre AI Roadmap Workshop is a fixed-scope engagement built around a single half-day facilitated session. After a short intake questionnaire, we bring a cross-section of your people — leadership, operations, IT, and frontline staff — into one room to map and prioritise AI opportunities. Shortly after, you receive a delivered AI roadmap with four artefacts: an AI Opportunity Register, a 12-month phased delivery roadmap, a governance scaffold, and an executive business case pack for priority initiatives.

How long does the AI Roadmap Workshop take and what does it cost?

The workshop is a single half-day session, preceded by a short intake questionnaire and followed by delivery of your roadmap shortly after. Pricing is fixed-scope and depends on organisation size and scope. We provide a fixed quote after a 30-minute scoping call.

What does the AI Roadmap Workshop deliver?

Every workshop delivers four standard artefacts: (1) an AI Opportunity Register with every identified use case scored on value, feasibility, risk, and data readiness; (2) a 12-month phased delivery roadmap with named owners, milestones, and success metrics; (3) a governance scaffold mapped to the 8 Australian AI Ethics Principles, with risk-assessment scoping for high-risk use cases; and (4) executive-ready business cases for the top three priority initiatives.

Who needs to attend the AI Roadmap Workshop?

This is where the workshop earns its value: we strongly recommend a cross-section of your organisation in the room, not just executives. A typical group is 6–12 people spanning leadership, operations and process owners, IT or data, a risk or compliance voice, and — critically — the frontline staff who will actually use the solutions. Involving the people affected by the changes is how you get genuine cultural buy-in instead of top-down resistance, so the roadmap is one the whole organisation is willing to execute.

How is this different from generic AI strategy consulting?

AI strategy consulting engagements typically run 6–12 weeks and produce a strategy document. The Roadmap Workshop is a fixed-scope, half-day session that produces an execution-ready roadmap. The roadmap is built collaboratively with a cross-section of the people who will deliver and live with it, governance is embedded from the start (not retrofitted), and the output is a prioritised backlog with named owners — not a slide deck nobody adopts.

Can the workshop be run remotely or on-site?

Both. The half-day session can be run on-site in Brisbane or across Queensland, or delivered remotely via video conference with collaborative whiteboarding tools. On-site delivery is included for Brisbane metropolitan engagements; travel costs apply for regional Queensland and interstate engagements.

What happens after the AI Roadmap Workshop?

The workshop ends with a 30/60/90-day implementation backlog so your team can begin executing immediately. Syfre can be engaged to deliver any of the prioritised initiatives (AI automation, agentic AI, machine learning, business intelligence, or governance work), or the roadmap can be handed off to your internal team or another delivery partner. There is no obligation to engage Syfre for implementation.
